Coretek Services, hereafter referred to as “Coretek”, “We”, “Us”, or “Our”, recognizes the importance of protecting the personal information that We collect. Whether "You" are an employee, contractor, partner, customer, recipient of our services, participant in our events, visitor of our facilities, or visitor of our website, Your privacy is Our priority.

In the operation of Our services, We will take reasonable steps to maintain the confidentiality, integrity, and privacy of the information We collect in accordance with this Privacy Notice.

This Privacy Notice details the personal information Coretek collects, as well as the methods and purposes for processing it. This notice also describes the rights and choices available to You regarding Our collection and use of Your personal information.

1.1 Information Collection Purposes

Coretek may collect Your personal information through Our interactions with You for the following purposes:

Coretek will communicate changes to purposes of personal information processing through regular public updates to this Privacy Notice on the website. 

1.2 Choice and Consent 

Coretek will obtain consent for the collection, use, retention, and disclosure of Your personal information for purposes of marketing communications and will communicate notice of choices available to You.

Marketing Subscription & Communications Management 
You can exercise Your right to prevent such processing by refraining from checking certain boxes on the consent forms We use when collecting Your personal information. If at any point You wish to review or change Your preferences, You can use the "opt-out", unsubscribe mechanism, or other means provided within the communications that You receive from Us. Please note: Coretek may have incidental access to the sensitive information of Our customers who are responsible for the security and privacy of such information. Sensitive personal information under the control of the customer should remain with the customer.

In-Person Event Registrants/Participants Hosted at Coretek Facilities

  • Where submitted, Your first name, last name, email, phone number, address, photo, education, experience, work summary, resume, and cover letter for the purpose of applying to an open position on Coretek’s career page
  • Tracking codes such as cookies
  • Internet Protocol ("IP") addresses used to connect Your computer to the internet
  • The physical location of Your device is used to provide You with more relevant content for Your location
  • Comments, feedback, posts, and other content You provide to Coretek through interactions with Us

In order to access certain content and to make use of additional functionality and features of Coretek's websites and services, We may ask You to register for an account by completing and submitting a registration form, which may request additional information.

Information We Receive from Other Sources
Coretek may receive information about You if You use any of the websites We operate or the other services We provide. We also work closely with third parties (including, for example, business partners and sub-contractors in technical, payment, and delivery services; advertising networks; data and analytics providers; academic institutions; journal owners, societies, and similar organizations; search information providers, and credit reference agencies) from whom Coretek may receive information about You.

1.4 Systems Storing Your Personal Information

Coretek may use services and systems provided by third parties to facilitate business operations that store Your personal information. Coretek will perform due diligence on these third-party services and systems in accordance with corporate policy.

Coretek may use Your personal information in the performance of any contract into which We enter with You, to comply with legal obligations, or where Coretek has a legitimate business interest in using Your information to enhance the services, products, and events We provide to You. 

Where applicable under laws that apply to Coretek, We will not use Your personal information for marketing purposes unless We have Your prior explicit consent, which We will seek before collecting Your personal information.

  • Where Coretek is required to disclose personal information in response to lawful requests by public authorities and government agencies, including to meet national security or law enforcement requirements; to comply with a subpoena or other legal process; when We believe in good faith that disclosure is necessary to protect Our rights, to enforce Our Terms of Service, or to protect the rights, property or safety of Our services, users or others; and to investigate fraud
  • Where all, or substantially all, the business or assets of Coretek relating to Our services are sold, assigned, or transferred to another entity
  • Where Coretek’s rights to publish, market, and/or distribute a specific journal or other publication are transferred to another entity, and You have subscribed to or requested to receive electronic alerts related to that journal or Coretek
  • Where You have subscribed to journals, elected to receive electronic alerts about journals, or Your contribution to one of Our journals has been accepted for publication, We may share Your information with the journal owner or society, or organization associated with the journal
  • Where, even if not described above, You have consented to such disclosure or Coretek has a legitimate interest in making the disclosure

If necessary, in connection with providing publishing services on behalf of third parties, such as institutions and societies, Coretek may disclose navigational and transactional information in the form of anonymous, aggregate usage statistics and demographic information that does not reveal Your identity or personal information.

1.7 Children's Privacy

Coretek will not knowingly market to, collect, or store any personal information from individuals under the age of 16, unless authorized by parent or guardian. By submitting Your information to Coretek, You consent to the practices described in this policy. If You are under the age of 16, parental or guardian consent must be provided prior to submitting any personal information to Coretek. 

1.8 Information Security

Coretek personnel are trained on the importance of maintaining the confidentiality, integrity, and security of Your personal information.

1.9 Unathorized Disclosure or Misuse of Personal Information 

In the event of a security incident or breach, for which it is a Coretek responsibility, Coretek will provide notice to affected individuals and regulators, if and to the extent required by applicable laws.

1.10 Information Integrity

You are responsible for providing Coretek with accurate and complete personal information, and for contacting Us if correction of personal information is required. Coretek will only process Your personal information in a manner consistent with the purpose for which it was collected or authorized. 

1.11 Information Retention and Disposal 

Coretek will retain Your personal information for no longer than necessary to fulfill the purposes of collection unless a law or regulation specifically requires otherwise. Unless information must be retained for legal or archival purposes, personal information will be erased or destroyed, where applicable, following a validated request from You to destroy or erase Your personal information.

1.12 Your Privacy Rights

Coretek is committed to honoring Your privacy rights, as outlined below. You have the right to make a written request to exercise Your privacy rights at any time relating to the personal information that We collect and maintain about You. 

If You seek to exercise Your privacy rights with Coretek, please submit Your request to Coretek Privacy. Coretek is committed to resolving any inquiries or complaints about Our collection or use of Your personal information, and as such, will respond to Your privacy request within 30 days of receipt.

Right to be Informed 
Coretek will, upon a validated request, provide the details of Your personal information that We process, the purpose(s) for which Your personal information is processed, and the recipients of Your personal information. 

Right of Access to Personal Information
Coretek will, upon a validated request, allow You to access Your personal information that We have collected. Personal information will be provided to You in an easy-to-read format, in a reasonable timeframe, and at a reasonable cost, if any. Requests for access to personal information that is controlled by Coretek customers will be forwarded to the customer’s privacy designate. 

Right to Rectification of Personal Information 
Coretek will, upon a validated request, allow You to rectify inaccurate or incomplete personal information held and controlled by Coretek. If practical and economically feasible to do so, Coretek will provide rectified information to third parties that were previously provided with Your personal information. 

Right to Erasure of Personal Information (Right to be Forgotten)
Coretek will, upon a validated request, allow You to have Your personal information deleted from Coretek systems if continued processing of such information is no longer justified, except where the burden or expense of fulfilling this request would be disproportionate to the risks to Your privacy or where the rights of persons other than You would be violated.

Right to Restrict Processing
Coretek will, upon a validated request, allow You to request that We restrict or cease the processing of Your personal information. 

Right to Data Portability
Coretek will, upon a validated request, provide to You a copy of Your personal information in a standard format supported by Coretek. 

Right to Object
Coretek will, upon a validated request, allow You the right to object to automated decision-making and profiling based on legitimate interests or the performance of a task in the public interest (in which event the processing will cease except where there are compelling legitimate grounds, such as when the processing is necessary for the performance of a contract between Us), the right to object to direct marketing from Us, and the right to object to processing for purposes of scientific, historical research, and statistics, where applicable. 

Rights in Relation to Automated Decision Making and Profiling
Coretek will only utilize automated decision making and profiling when necessary for performance of contract, authorized by law, or permitted by Your explicit consent. Coretek will, upon a validated request, allow You to request information related to automated decisions and profiling performed by Coretek and will allow You to request human intervention or the opportunity to challenge decisions made. 

Confirmation of Identity 
Coretek will perform due diligence to validate the identity of individuals who request access to their personal information before they are given access to that information. We take the task of protecting Your information very seriously and part of that includes verification of requests to the degree warranted, at Our discretion, to safeguard against fraudulent information requests.

Denial of Access to Personal Information
In the event Coretek denies You access to or rectification of Your personal information, a reason for denial will be provided to You in writing within a timely manner, unless prohibited by law or regulation. Additionally, Coretek will perform the due diligence necessary to source the legal right to deny such access, if applicable. When permitted or required by law or regulation, You may have the right to challenge Coretek’s denial of access.

Coretek’s Privacy Notice is reviewed and updated periodically. Coretek reserves the right to update this Privacy Notice at any time. Updates to this notice will be posted on the Coretek website and will become effective on the date of posting.
